Executive Assistant to MD (0-1 Yr)

Job Description

We are seeking a highly organized and proactive Executive Assistant to the MD and ensure the smooth operation of our office. The ideal candidate will have excellent communication and organizational skills, impeccable attention to detail, and the ability to handle multiple tasks simultaneously in a fast-paced environment.

Responsibilities

  • Provide personal and professional administrative support to the MD, including managing calendars, scheduling meetings, and arranging travel itineraries.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail, and respond or redirect as appropriate.
  • Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism.
  • Coordinate and facilitate meetings, including preparing agendas, taking meeting minutes, and following up on action items.
  • Manage and maintain executive schedules, including planning and organizing appointments, conferences, and events.
  • Handle confidential information with discretion and professionalism, maintaining strict confidentiality at all times.
  • Conduct research and compile data as requested by executives to support decision-making and strategic initiatives.
  • Assist with special projects and initiatives as assigned by executives, collaborating with other team members as needed.
  • Serve as a liaison between executives and internal/external stakeholders, ensuring clear and timely communication.
  • Anticipate the needs of the MD and proactively address issues or concerns to ensure their productivity and effectiveness.

  • MBA / BE / BSc / BA / MSW Only
  • Good Communication
  • Good English Proficiency – (Written and Verbal)
  • Multi-tasking ability and can-do approach
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Discretion and confidentiality in handling sensitive information and matters.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility and adaptability to changing priorities and demands.
  • Attention to detail and high level of accuracy in all tasks and communications.
  • Positive attitude, proactive mindset, and willingness to take on new challenges.
